and the maintain a list with users, participants and entitled persons and change the password every 5th year or so because the pw could be given away with a domino effect.

or the participants could use their current Name: and Password: and a list ist maintained.

I don't know what technically is best and most convenient.

but still it should be cleansed a bit especially given world regions with stricter privacy laws.
